What changes when a brand moves
Moving from a vendor relationship to running your own seller account changes who owns the listing, who holds the stock, how orders arrive, when money is paid and who sets the price. Those changes touch purchasing, finance, logistics and customer service at once, so a move planned as a technical task usually goes wrong in the handoffs.
The first job is to map the current relationship: purchase order flow, invoice and payment timing, wholesale pricing, listing ownership, promotions the vendor team runs, and the stock sitting in fulfilment centres. Each of those needs a target state and a date.
Once the map exists, the risks become specific. A product with a long lead time and a strong season cannot be moved in the middle of its buying cycle. A promotion booked by the vendor team may still be running when the new account goes live. A pricing rule that worked for wholesale may break the margin on retail. We list each of these before anyone chooses a switch date.
We plan the move in stages. The first stage confirms the programme rules and the account readiness, because the requirements for vendor and seller programmes change over time. We check the current requirements before each stage rather than relying on memory. The second stage moves the catalog data and listings into a parallel setup that can be checked. The third stage moves stock and pricing once the new account has been tested. The last stage closes the old relationship when your team accepts the results.
Each stage has an owner, a checklist and a rollback plan written before it starts. If a stage fails its checks, the business stays on the previous setup until the problem is fixed. That is the only way we know to keep a move calm.
Communication is part of each stage. Your team, your finance contact and your key buyers are told what changes and when, in plain language, before the change happens rather than after a customer notices it.
What we check at each stage
-
Programme requirements
Current rules checked for the account type and the marketplaces in scope.
-
Catalog and listings
Product identifiers, detail pages and variations compared before anything switches.
-
Stock position
Units on hand, inbound and in transit tracked so no product goes dark during the move.
-
Pricing and promotions
Wholesale and retail prices and any running promotions reviewed so margins do not shift by accident.
-
Orders and invoices
Order flow tested end to end, with a named person for each exception.
-
Cash and tax
Payment timing and tax set-up confirmed with your finance team before the switch.
What the move does not do
A move between programmes does not automatically keep your sales history, your reviews or your rankings. Some of those depend on the listing history and the product itself, and some reset when the account changes. We tell you which parts are likely to be affected for your products, and we plan communication with your buyers and retail partners where needed.
We do not give legal or tax opinions. Where a contract with a vendor partner or a distributor is involved, we recommend that your own advisers review the terms before the move starts.
The stages in order
-
Readiness review
Account, programme and team requirements checked against the current rules.
-
Parallel build
The new seller setup is built and tested while the vendor relationship keeps trading.
-
Controlled switch
Stock and pricing move in a planned window, with the rollback plan ready and named owners on call.
-
Close and review
The old relationship is closed once results are accepted, and the lessons go into your playbook.
Questions about the move
- How long does a move take?
It depends on catalog size, stock and how many people need to sign off. We set the timeline in the plan after the readiness review. We do not promise a date before we have seen the account.
- Will we lose our listings?
The risk is controlled, not zero. We plan the listing transfer and test it before the switch, and we show you which items need attention afterwards.
- Can we keep selling during the move?
That is the purpose of the parallel stage. Stock and price changes are planned so there is a clear point where buyers see the new setup.
- Do you negotiate with Amazon?
We prepare the case and the questions, and can join calls where that helps. We do not claim a special relationship with the platform.
